    Recording System/Technology for Meetings 03/07/2012

    We (Lancaster County) are looking to update/upgrade our recording system for our board/commission meetings and looking for recommendations. We have a new microphone and amplifier system in place.  It’s budget time and need to have some information to present.

     Yes, we are still in the Stone Age using a Sony micro cassette dictator/transcriber M-2020 which is so old it has been discontinued.

    Hearing Impaired Audio Technology 02/29/2012

    Today I was approached by a company called “Listening Loop Technologies” regarding installing an induction loop system that eliminates background noise and echo by sending audio signal directly to the hearing aid of hearing impaired citizens. 

    Does any municipality use this (or any other) technology in Board / Council Chambers to accommodate hearing impaired citizens?  If so, can you please describe the system used and the level of satisfaction that it provides?

        If a city/town employee is elected to the council and is paid for both positions, what effect does that have on his overtime pay and benefits? Is there a state code governing this situation? Thank you for any input.

    _  Do localities provide breakfast, lunch, dinner, snacks, etc. on Board/Council meeting days?  And, if Board/Council members meet with their constituents, staff, elected officials, etc. and pick up the tab for the meal, are they reimbursed by their locality.

    Office Space for Clerks 01/12/2012

    _ During this budget cycle, I am requesting dedicated office space for the City Clerk and possibly a separate office or additional space for the City Council to have a place to go through their work, mail, meet with constituents, etc.  Currently I share an office with several people and it is not possible to have confidential meetings or quiet space to transcribe minutes, etc.  I would like to know if this is a common situation or if clerks and council typically have their own area.  Thank you.

    _ I would like to know from small Towns who have their own water billing, if any of them prorate? And if they prorate, does their software calculate it for them or do they have to determine how much they are going to prorate? Thanks!

    Notifying organizations after an Election 12/08/2011

    _ Does your locality have a protocol for notifying organizations associated with your locality of the Board of Supervisors ELECT – Prior to the reorganizational meeting held in mid-January?

    My locality has 3 Board members and two will be replaced after the first of the year.  The County Administrator feels there should be some notifications sent out of this change now but wants to know if there’s any precedence set for this in another locality – as we have none.

    Note: notification will go out after the reorganization meeting January 12th – that will include Board information including who of them has been elected Chair and Vice Chair.
