    Office Space for Clerks 01/12/2012

    _ During this budget cycle, I am requesting dedicated office space for the City Clerk and possibly a separate office or additional space for the City Council to have a place to go through their work, mail, meet with constituents, etc.  Currently I share an office with several people and it is not possible to have confidential meetings or quiet space to transcribe minutes, etc.  I would like to know if this is a common situation or if clerks and council typically have their own area.  Thank you.

    I have an office on the first floor, next door to the Council Chambers and the Caucus Room. All the administrative offices are located on the 3rd floor of the building.

    There is a caucus room located directly behind me, and if Council needs work space, they either use it or a conference room in the City Attorney's office (depending on availability.)

    You are absolutely right - you cannot transcribe minutes or meet privately with concerned citizens if you are in the middle of a large work area.

    I have a private office in the County Administration suite (I am also the Administrative Assistant) which gives me the privacy to do my minutes. Next door is the Board meeting room and next to that are two conference rooms which can be used for meetings with me and/or Board members.

    Julia, I have my own office with windows:) and a door. I can't imagine not having a quiet, dedicated area in which to work on minutes and other critical documents!

    City Council has several differing sizes of conference rooms from which to choose and the Mayor has a very nice office to himself.

    Henrico County does not have a separate Clerk's Office. It is functionally part of the County Manager's Office. The Clerk has a private window office, the Deputy Clerk has a private windowless office and the two Executive Assistants to the Board who handle calendars, correspondence, etc. share a private window office that adjoins the office that is collectively shared by the members of the Board of Supervisors and is directly across the hall from the Board's private conference room. Work sessions are also held across the hall in the Manager's Conference Room and regular meetings of the Board are held in the Board Room in a separate wing and level of the building.

    Haymarket has one office dedicated for Council. We have file cabinets (mini ones)for each member. They each have a key to use at their pleasure.

    Wow - I don't know how you could do your job without your own office. The City Clerk in Falls Church has an office within the City Manager's suite. The Deputy Clerk had a semi-private space until she stepped up to help at the CM front desk during the budget crunch, but it makes doing her job extremely difficult. You can't write without quiet. Hope you get your space!

    The City Council used to have a room for meetings but now all of the Council Members have full time jobs and when they have meetings, they use the conference room next to the CM suite.

    Julia, I am in an office with 9 others, however, I do have a door that I can close. Also, we have a small conference area that anyone can use, even Council Members, with community members.

    For the Town of Rocky Mount, I (as Town Clerk) have my own office with the availability to close the door, when needed. Our Deputy Clerk finally has her own office also. We also have a conference room that is located away from the main offices and a step-down room that can be used by council members whenever they need a quiet place to go to review things pertaining to the Town. Years ago, my area was open to people coming/going through it all the time. I don't know how I did it then and shutter to think I would have to do it like that now. As Town Clerks and Deputy Clerks, we need an office to be able to think clearly and process our work in a timely manner, and having your own space definitely helps out!

    I now have my own office and it works out so much better. I know how you feel I use to have to transcribe minutes while working the front desk. Don't blame you for requesting your own space and I hope you get it.

    I have an office to my self and the Mayor although he works full-time has an office of his own. All of my Council have full-time jobs, but if they needed space for a meeting they use one of the conference rooms or the Mayor's office.

    A quiet space is needed to transcribe your minutes and I hope you get yours!

    The city Clerk has a suite of offices here in Virginia Beach. Some of us sit in a "bull pen" type arrangement, but the Clerk and Chief Deputy have private offices.

    Council meets across the hall and the Mayor's office is over there. Various conference rooms provide meeting space for whomever needs it.
