Meals on Meeting Days 01/19/2012
_ Do localities provide breakfast, lunch, dinner, snacks, etc. on Board/Council meeting days? And, if Board/Council members meet with their constituents, staff, elected officials, etc. and pick up the tab for the meal, are they reimbursed by their locality. Comments01/19/2012 8:04am
We provide dinner for our Planning Commission and BZA members on meeting nights. Our members are volunteers, so dinner is our way of thanking them for their service to their community.

The Town of Appomattox does provide dinner (a meal) for elected officials on their meeting nights (twice a month). The Town also provides a luncheon for employees a couple of times a year.

We do not provide dinner on meeting days, but our meetings don't start until 7:00 p.m. However, we do provide M&M's and drinks for those meetings. Board Members are unable to recieve reimbursement. The City Manager seldom pick's up the tabs for others. If Council Members are doing City associated items we do reimburse them. (My screen for this page is acting up again, sorry if it looks crazy).

The Town of Shenandoah does NOT provide meals or snacks on meeting nights. We do have bottled water available for all meetings. We occasionally reimburse for meals that are Town business related. Council would NOT approve meal reimbursement for meeting constituents though.

The Town of West Point provides food from a local restaurant. Subs, Sandwiches with chips Etc. prior to a meeting. We do not have morning meetings, we do not provied food for Committee meetings.

We also do not provide dinner on meeting days as our meetings also begin at 7:00 p.m. We have snack crackers and pop available for them at meetings. If a work session is held at 5:00 or 5:30, then we have food brought in for them to eat while they work as most are just getting off work with no time to eat. Board members do not get reimbursement for meals unless they are on County business out of town. If meeting at lunch with the County Administrator, he will pick up the tab on the County's credit card. This is rare.

Dinner is provided to City Council and staff on meeting days. Snacks are provided during the Work Sessions.

Our Board does not provide meals at meetings. Our regular meetings begin at 7:30 p.m. and if there are public hearings, they begin at 7:00 p.m. We (staff) provide a pitcher of water at each seat for the members. Members will be reimbursed if they travel on travel related business.

We provide M&Ms and mixed nuts along with water and coffee at the Council meetings and Work Sessions. However,we did provide a meal before the Work Sessions prior to the economy downturn but that was cut in the budget a few years ago.

We also meet at 7:00 but we do provide dinner for members, staff attending the meeting and the press - usually around 5:30. I do post it because I have more than three attending. The Regional Jail provides the food at no cost to the Town. We also serve lunch at our work session meetings and our Planning Commission meetings - which we purchase from a local restaurant. We do not reimburse Council members when they hold their community meetings.

We provide dinners only to our video control room staff (2 people) on evenings when a work session is held (4:30) followed by the board meeting (7:00) because they cannot leave to get a meal between meetings. Other staff and members of the Board have that opportunity. We used to provide boxed lunches for the Board members and certain staff, but since the budget situation has been so bad, the Board has opted out of receiving meals. We provide meals for the Board, staff, and our legislative delegation when they visit to discuss the Legislative Program.

In Chesapeake we provide dinner for the Council and a limited number of staff on meeting days. Our meetings usually start with a Work Session that may begin as early as 3:30 p.m in the afternoon while the actual meeting begins at 6:30 p.m. If we are having a retreat meeting that runs for a whole day or an evening and the next day, we provide dinner, light breakfast and perhaps lunch for the time period they will be meeting. My office does not provide meals for any of the appointed boards, commissions, committees or authorities; their liaison departments may do that at that department's expense.

Chesterfield County provides dinner for Board members and staff who are required to stay between the afternoon and evening sessions of Board of Supervisors meetings. Additionally, snacks (packaged crackers, peanuts, M&Ms) are provided in the drawers of each Board member for lengthy meetings. Board members may submit receipts for travel-related expenses quarterly, to include mileage and business-related meals. Not all Board members choose to submit these expenses, but prefer to use them as personal tax write-offs.

The Town of Ashland Town Council is provided a meal for work sessions held at 6pm. No meals are provided for the regular meetings though. Candy, ice and pitchers of water are always available at their places during the meetings.

Our cafeteria provides dinner for Board members and staff who are required to attend both the afternoon work sessions and evening session of Board of Supervisors meetings. We also provide popcorn and cheese nips, as well as soft drinks and bottled water, during our work sessions. At our evening sessions, we have a coffee machine and cookies baked by our cafeteria. Dinner is also provided to our Planning Commission members on meeting days when they have afternoon work sessions. Typically, take out box dinners are ordered from a local shop although the cafeteria staff occasionally prepares these meals as well as the one for the Board of Supervisors. Our Board members meet with constituents in the County Manager's Office or at our eastern government center but not over lunch. If they are on a particularly tight schedule, we may order them a sandwich from the County cafeteria at the County's expense. We have not received requests from Board members to be reimbursed for meals with constituents. During legislative budget reviews, which involve all day weeklong work sessions each spring, we provide Board members and staff with lunch prepared by our cafeteria. Culinary arts students at a nearby high school prepare and serve dinner at our Board's annual meeting with the County's General Assembly delegation.

Our meetings start at 7 or 7:30 so meals are not provided. We do, however, give Council a cup of water! :)

We provide a meal for Council and staff at our monthly worksession meeting beginning at 5:45p.m. We do not provide meals for the regular 7 p.m. Council meeting.

Waynesboro provides only iced tap water to council on meeting nights and mints at each of their seats. We used to provide snacks and soda during work sessions, but that ended two years ago. I have not had any council member request reimbursement for lunches with staff, but if they did, there is a line item for it; it just hasn't been used. Council is treated to a lunch once a year at their retreat.

We provide candy and sodas (their requests) which is paid for by the Town. At times, some Council members contribute money towards the cost of the snacks.

We do not provide meals - we provide water, coffee and hard candy at each place. Our meetings do not start until 7pm, unless there is a Work Session at 6pm. In the past, meals have been provided to various boards/commissions, but due to budget - we have stopped all meals.

We provide a meal only if we are working through the meal time and there is no chance to stop for a meal. Such as our Saturday meeting that starts at 8:30 am- if we go past 1:00 pm we provide a meal. Due to budget cuts in the past we no longer reimburse for meals the board may have when meeting with a constituent. We basically said no more meeting over a meal and if you must then you pay for it yourself.
